Charge clients who paid a deposit or entered card information to be used later
If you don't charge the full payment at booking, you have a few options to collect payments after booking.
You can:
- Charge your client’s card
- Send your client a payment link
- Record a cash payment
- Have your client pay an Acuity invoice
- Take payment outside Acuity and mark the appointment as paid
- Collect payment after booking using the Acuity Scheduling Admin mobile app
Charge your client’s card
You can charge a client's card that’s saved on file, or enter a new card, if you're using Stripe or Square. It’s not possible to charge a client’s card after booking using PayPal.
To charge your client’s card:
- Open the Calendar panel: I log in with an Acuity account | I log in with a Squarespace account.
- Click the appointment to open the appointment details.
- Click Make Payment.
- Select a card already on file, or enter a new card.
- Enter the amount, then click Pay.
Tip: You can require your clients to enter a valid card number at booking, which you can then use to charge them later
Send payment links to clients
You can use payments links if you require or allow clients to pay in full for appointments and if you're using Stripe or Square as your payment processor. It’s not possible to use payment links with PayPal.
There are three ways to send payment links to your clients:
- Send a payment link with the Acuity Scheduling Admin mobile app
- Include payment links in automated emails
- Manually send clients the link to their confirmation page
When clients click payment links, they’re taken to a payment screen where they can enter their credit card information and pay their remaining balance.

Include payment links in automatic emails
You can include a payment link or payment button in any of the automated emails Acuity sends about your appointments. The link and the button will take clients to the same screen.
To add a payment link to automated emails, edit an email template to include the tag %paylink%. When the email is sent, the tag converts into a link inviting clients to pay.
To add a button, edit an email template and use the Add button option to choose Pay for appointment.
Send a link to the confirmation page manually
If a specific client needs to know how to pay you, you can manually send them the link to their confirmation page. From that page, they can follow the prompts to enter payment.
To retrieve the link to a client's confirmation page:
- Open the Calendar panel: I log in with an Acuity account | I log in with a Squarespace account.
- Click the appointment to open the appointment details.
- Click , then select Client's Confirmation Page.
- Copy the URL from your browser and send it to the client.
Record a cash payment
Cash payments are recorded in Acuity, but not in your payment processor. When you record a cash payment for the full cost, or more, of an appointment, the appointment is marked paid.
To record a cash payment:
- Open the Calendar panel: I log in with an Acuity account | I log in with a Squarespace account.
- Click the appointment to open the appointment details.
- Click Make Payment.
- Select Cash.
- Enter the amount, then click Pay.
Send an Acuity invoice
Sending invoices with Acuity Scheduling is a great way to remind clients to pay what they owe, and give them a way to make their payments seamlessly.
After the client pays an invoice, mark the appointment as paid.
Mark an appointment as paid
If you accept payments outside Acuity, or if the client pays via Acuity invoice, you can mark an appointment as paid.
Appointments marked as paid aren’t included in your revenue report.
To mark an appointment as paid:
- Open the Calendar panel: I log in with an Acuity account | I log in with a Squarespace account.
- Click the appointment to open the appointment details.
- Click Edit.
- Check the box for Paid (yes).
- Click Save.
Packages, gift certificates, and subscriptions
Packages, gift certificates, and subscriptions are ways for you to sell codes that clients later redeem for appointments and are always treated as up-front sales. It’s not possible to have clients pay later for packages, gift certificates, or subscriptions.
If you need to accept payment late, you can create a free code, then take payment outside Acuity, but it won’t be possible to mark the code as paid or record the payment in Acuity.
