Understand Acuity access levels

Quickly check what your team can access and do at each permission level.

When you add staff to your account, you control their permissions by assigning an access level. There are a variety of access levels you can choose for your staff, so they only have access to the parts of Acuity they need.

View Only access

This level is called Scheduling View Only on Squarespace accounts, or View Only on Acuity accounts.

Staff with View Only access can review upcoming appointments, but cannot add new appointments through the calendar or change settings.

Staff with View Only access can only access the calendars you assign to them. For those calendars, they can:

• Calendar - Review waitlist requests and booked appointments. They can click appointments for details and read appointment labels, but cannot edit, reschedule, or add labels.
• Clients - Review the client list, but only for clients who have an appointment on an assigned calendar. They can review appointment history but cannot edit client information or import clients. If you grant permission, staff with View Only access can export the clients in their client list.
• Appointment exports - If you give them permission, they can use the export appointments from the Reports panel. They can’t see any reports or access any other part of the reports panel.
• Link - Copy direct links and embed codes for their assigned calendars. They can’t customize URLs.

View & Edit access

This level is called Scheduling View & Edit on Squarespace accounts, or View & Edit on Acuity accounts.

Staff with View & Edit access can review information and edit settings for their assigned calendars.

In addition to everything included in View Only access, staff with View & Edit access can also:

• Calendar - Add waitlist requests, and edit, reschedule, or cancel appointments. They can apply or remove labels, but cannot create or delete labels from the system.
• Clients - Edit client information, ban clients, and reschedule or cancel appointments. If you grant export permission, they can import and export clients.
• Availability - Edit the hours the calendar is available. They can also update scheduling limits and calendar settings, including which email addresses receive booking notifications.
• Integrations - They can connect to select apps.
• Sync with other calendars - They can connect their assigned Acuity calendars to a third-party calendar.
• Process payments - They can collect payments from clients.

Note: Staff with View & Edit access can book new appointments for clients. While they are limited to appointment types available on their assigned calendars, they can book those types on any calendar that offers them, even if they don't otherwise have access to that calendar.

Admin access

Staff with administrator access have permission to do almost anything in Acuity. The limitations on this access level vary slightly depending on which platform you used to sign up for Acuity. Which kind of account do I have?

Squarespace accounts: Scheduling Administrator

This level is called Scheduling Administrator on Squarespace accounts, which is different from general Administrator access that gives the user full access to the website. 

Staff with Scheduling Administrator access can do almost everything the account owner can do with Acuity, including importing and exporting data, creating packages and subscriptions, and managing invoices. 

However, staff with Scheduling Administrator access can't:

• Add or remove contributors, or change access levels.
• Change the account owner.
• Change or cancel Squarespace subscriptions, such as Acuity.

Acuity accounts: Admin

This level is called Admin on Acuity accounts. 

Staff with Admin access can do almost everything the account owner can do, including adding or removing other users, managing subscriptions, importing and exporting data, creating packages and managing invoices.

However, staff with Admin access can’t:

• Delete the Acuity account.
• Edit or delete their own user account.
• Change the username or password for the main account.
