Availability and scheduling limits by appointment type


Set specific hours and settings for different appointment types.

Acuity allows you to create groups of appointment types that have their own individual settings for availability and scheduling limits, even though the different groups are on the same calendar.

Create availability groups

How you create availability groups depends on whether you have one calendar or multiple calendars.

One calendar

To create availability groups: 

  1. In Acuity, click Availability.
  2. Near the bottom of the page, click Set different hours for certain appointment types…
  3. Check the boxes next to the appointment types that you want to put into one group, then click Save appointment types.
Tip: If this is the first group you have created, the appointments you checked will be turned into a group called Group 2. Those you didn’t check will be turned into another group, called Group 1. 
  1. Set your availability.
  2. Click Calendar scheduling limits and enter your scheduling limits.
  3. Click Save limits, then click the X at the top-right.

Multiple calendars

To create availability groups:

  1. In Acuity, click Availability.
  2. Find the calendar you want to create groups of appointment types on.
  3. Near the bottom of the calendar's details, click Set different hours for certain appointment types…
  4. Check the boxes next to the appointment types that you want to put into one group, then click Save appointment types.
Tip: If this is the first group you have created, the appointments you checked will be turned into a group called Group 2. Those you didn’t check will be turned into another group, called Group 1.
  1. Set your availability.
  2. Click Calendar scheduling limits and enter your scheduling limits.
  3. Click Save limits, then click the X at the top-right.
Note: If you have multiple availability groups available at the same time on a single calendar, once a client schedules an appointment in a time slot, only other appointments from the same group will be available for that time slot.

Edit availability groups

To add or remove appointment types from an availability group:

  1. In Acuity, click Availability.
  2. Locate the appropriate availability group, then click Edit group.
  3. Ensure only the checkboxes next to the appointment types that you want in the group are checked.
  4. Click Select.

Move appointment types between groups

To move an appointment from one group to another:

  1. In Acuity, click Availability.
  2. Locate the group you want to add the appointment type to, then click Edit group.
  3. Check the box for the appointment type you want to move, then click Select.

This will remove the appointment type from its old group and add it to the new group.

Delete an availability group

To delete an availability group:

  1. In Acuity, click Availability.
  2. Locate the appropriate availability group, then click Edit group.
  3. Uncheck all of the selected appointment types so none are selected, then click Select in the top-right. 
  4. In the Availability panel, next to the availability group, click remove group

When you delete an availability group, the group's associated availability is also deleted. 

Note: You can't delete Group 1. 

Classes and availability groups

Classes are always automatically placed in Group 1. You can add other appointment types to the group at any time. Because classes are offered at times that you manually choose, they aren’t affected by Group 1’s availability settings. However, they're controlled by Group 1’s scheduling limits.
