Review how video integrations interact with your Acuity calendars, location settings, and appointment types.
Connect one video provider per calendar
Each calendar in your Acuity account can only connect to one video provider at a time. If you run a team with multiple calendars, different calendars can use different providers.
Offer the same service in-person and virtually
Acuity uses the virtual meeting link as the location for the appointment, but an appointment can't have both a physical location and virtual link. To offer the same service both in-person and online, create two separate appointment types, one for in-person and one for online..
Enable video conferencing for new appointment types
When you create a new appointment type, video conferencing is turned off by default. If you create a new appointment type or group class after setting up your integration, return to your Integrations panel to enable video for that new appointment type.
Add meeting links to existing appointments
Appointments scheduled before you set up your integration won't automatically get meeting links. To generate a link for existing appointments, cancel and rebook them.

Note: If you have a legacy Join.me account, your integration with Acuity is still supported.
Share links with clients
After setting up the integration, Acuity uses the meeting link as the appointment location, automatically adding it to default confirmation and reminder emails.
If you use custom email templates, add the %location% tag to ensure the link appears. To include the meeting link in automated text message reminders, turn on the location field toggle in your text message settings.
How are meeting links created for group classes and recurring appointments?
Meeting links are generated depending on the type of booking:
- Group classes - When the first person signs up for a class, the meeting link is created. All attendees for that class receive the same link.
- Recurring appointments - Each recurring appointment has its own unique link. The first link appears in the initial confirmation email, and the links for later appointments appear in their respective reminder emails.
What happens to the meeting link if I cancel or update the appointment?
The meeting link changes depending on if you cancel, reschedule, or update the appointment:
- If you or a client reschedules an appointment, the video link updates automatically and continues to work.
- If you cancel an appointment, the corresponding video meeting is automatically deleted.
- If you manually edit an appointment's details, the virtual meeting link does not update.
Use a static video link
If you prefer to use static meeting links for your appointments, use Zoom and select your personal meeting ID, or set your static links up manually instead of using an integration.
To manually use a static link:
- Open your calendar settings and paste your meeting link directly into the location field.
- If you want to use different static links for different services, turn on the option to set locations by appointment type, then add the links to the location field for each appointment type.
Switch video providers
To switch to a different video provider, disconnect your current integration before setting up the new one. Existing meeting links remain on your calendar, and your new provider generates links for future bookings.
