Connect to Zoom

Automatically generate unique Zoom meeting links for every scheduled appointment. 

Connect your Acuity account to Zoom to automatically include virtual meeting links in client confirmation and reminder emails. You can connect a single Zoom account or link multiple staff members to their own individual Zoom accounts.

Accessing this feature: To set up the connection, you need a Zoom account and Admin or Scheduling Administrator permissions.

Limitations

If you're considering connecting Zoom to Acuity, keep these limitations in mind:

  • If you schedule more than 100 video appointments per day, use a different video provider. Zoom has limits that can disrupt high-volume booking.
  • The integration only creates web-based meeting links. To allow clients to dial in by phone, add your Zoom dial-in details to your email confirmation templates.
  • Each Acuity account connects to one Zoom account, and each Zoom account connects to one Acuity account.

Connect to Zoom

To connect to Zoom:

  1. Open the Integrations panel.
  2. Find Zoom and click Set up.
  3. Click Connect to Zoom.
  4. Log into Zoom.
  5. Click Pre-approve, then click Authorize. (If you see a "pre-approval" error, go to the Zoom App Marketplace to pre-approve Acuity Scheduling).
  6. Select the appointment types that should generate Zoom links.
  7. Choose your meeting settings, such as allowing clients to join before the host, or using your Personal Meeting ID (PMI) for all appointments.
  8. Click Save.

Connect multiple staff members to Zoom

To connect multiple users:

  1. Follow the setup steps to connect your primary Zoom account.
  2. Find the list of calendars in your Zoom integration settings.
  3. For each calendar, click the Syncs with dropdown menu.
  4. Select the Zoom host who should run meetings for that calendar.
