What email notifications can clients receive?
Review the types of automated emails sent to clients:
Appointment notifications
- Booking Confirmation – Optional. Sent immediately after an appointment is booked. Can be re-sent.
- Cancellation Confirmation – Optional. Sent immediately after an appointment is canceled.
- Reschedule Confirmation – Optional. Sent immediately after an appointment is rescheduled.
- Reminders – Optional. Send up to three reminders per appointment at customizable times. If a client books after a reminder's normal send time, Acuity still sends it as long as at least one-third of that lead time remains. For example, a 24-hour reminder still goes out if booked 16 or more hours in advance. Appointments booked less than an hour before start time won't send a reminder.
- Follow-ups – Optional. Send up to six follow-up emails up to one year after an appointment.
- Appointment Receipt – Optional. Sent automatically when clients pay for appointments, or when you log a payment manually.
- Waitlist Confirmation – Always sent. Sent immediately after a client joins a waitlist for an appointment.
Package and subscription notifications
- Package/Gift Certificate Receipt – Always sent. Sent immediately after a client purchases a package, gift certificate, or subscription.
- Subscription Receipt – Always sent. Sent after a client is automatically charged for an ongoing subscription payment (not sent when they first sign up).
- Subscription Renewal Reminder – Optional. Sent before a client is charged for a subscription renewal.
- Subscription Cancellation – Always sent. Sent immediately after a client cancels a subscription or when a payment fails.
Note: If you cancel a subscription for a client manually, Acuity won't send an email.
What address do automated emails come from?
Automated emails sent to clients use the following sender details:
- Sender name: The business name set in your Acuity account settings, or the account owner's email address if no business name is entered.
- Sender address: scheduling@acuityscheduling.com or scheduling@acuityscheduling-mail.com.
Where do client email replies go?
By default, client replies are sent to the account owner's email address.
Change where replies are sent
To send client replies for a specific calendar to a different email address:
- Open the Availability panel.
- Find the calendar you want to update, then click Calendar Settings.
- Update the email address in the Send replies to field.
- Click Save Changes.
Note: You can only enter one email address in the Send replies to field. To notify multiple team members of client replies, set up an automated forwarding rule with your email provider.
Can I send email notifications to multiple recipients?
To send notifications for a specific appointment to more than one person, edit the appointment details and add the extra addresses to the Email field. Separate each email address with a comma (for example: client@example.com, partner@example.com).
Do HIPAA settings affect client emails?
If your account is HIPAA-enabled, automated email notifications have additional protections to help safeguard client privacy.
