What notifications can I receive?
You can set up email and text notifications from a web or mobile browser, and push notifications can be enabled in the Acuity Scheduling Admin mobile app.
Email notifications
You can get email notifications for:
- New, rescheduled, or canceled appointments
- Reminders for upcoming appointments
- Appointment waitlist requests
- Daily or weekly appointment summaries
- Package, gift certificate, and subscription sales (account owners only)
Push notifications
You can get push notifications for:
- New, rescheduled, or canceled appointments
- Appointment waitlist requests
Text notifications
You can get text notifications for:
- New appointments
- Reminders for upcoming appointments
Choose between booking alerts and calendar notifications
There are two settings that control internal email notifications, and they overlap. If both are enabled for the same email address, you'll get two notifications every time a client books, reschedules, or cancels. To prevent duplicate notifications, choose one and turn off the other:
- Booking alerts go to the account owner only. They include new bookings, scheduling changes, and waitlist requests across all calendars, and include package, gift certificate and subscription sales. They don't include appointment reminders.
- Calendar notifications go to any email address or phone number you add to a specific calendar, and they can include copies of your clients' reminders.
Turn booking alerts on or off as the account owner
Booking alerts are enabled by default for account owners. To turn account-wide email notifications on or off:
- Open the Booking Alerts panel.
- Switch the Send appointment notifications toggle on or off.
Send notifications to staff for specific calendars
Calendar notifications are turned off by default. Turn them on so other staff members can receive email notifications about appointment bookings and waitlist requests for specific calendars.
To send email notifications to staff for specific calendars:
- Open the Availability panel.
- Click Calendar Settings on the calendar you want notifications for.
- In the Send booking notifications to field, enter the email addresses and phone numbers that should receive notifications, separated by commas.
- In the Send replies to field, enter the address where your clients' replies should go.
- Click Save.
Send copies of client reminder emails
You can send a copy of your client’s reminder emails to you and your staff. These notifications are turned off by default, but you can turn them on or off for each of your reminder emails.
To receive a copy of your client’s reminder emails:
- Add your email address to the calendar you want reminders about.
- Open the Client Emails panel.
- Click Reminders.
- At the top of the page, click the reminder email you want.
- In the Send to field, select Send this reminder to clients and admins.
- Click Save.
- Optional: If you’ve scheduled multiple reminder emails at different times, repeat steps 4 through 6 to send copies for all the reminders you want to receive.
Send daily or weekly appointment summary emails
Account owners and contributors with view and edit access or higher can receive weekly or daily appointment summary emails. Weekly emails are enabled by default, but you can switch to daily or opt out. Summaries are only sent if you have upcoming appointments for the next day or week.
To switch between daily and weekly summaries, or turn them off:
- Open the Booking Alerts panel.
- Switch the Send summary emails toggle on or off.
- If the emails are enabled, select Weekly or Daily.
- If you choose daily emails, choose a send time between 4:00 PM and 11:00 PM.
Send copies of client text message reminders
Note: Text message notifications are available in the Standard or Growing and Premium or Powerhouse plans, and have some limitations on deliverability.
You can get a copy of your client’s text reminder sent to you and your staff when clients opt in on their appointment. These notifications are turned off by default, but you can turn them on or off for each of your text message reminder templates.
To send a copy of your clients' text message reminders:
- Add your phone number to the calendar you want reminders about.
- Open the Client Text Messages panel.
- Click a reminder template.
- Switch the Send a reminder to admins toggle on.
- Click Save.
- Optional: If you’ve set up separate templates for different appointment types, repeat steps 3 through 5 to send copies for all the reminders you want to receive.
Turn on mobile app push notifications
You can get push notifications from the Acuity Scheduling Admin mobile app when clients book, cancel, reschedule, or join the waitlist for appointments on any calendar you have access to. You can also get notifications about new features and tips for using Acuity.
I’m not receiving push notifications
If push notifications are enabled in the app but you're not receiving notifications, check your device's settings to ensure the Acuity mobile app can send notifications. What’s included in internal appointment notifications?
Internal email notifications are copies of the emails sent to your clients, excluding follow-ups. Confirmation emails also include questions and answers from any intake forms the client filled out at booking.
Text message confirmations include the subject lines of the matching email.
You'll only get an internal notification if the matching client notification goes out. If there's no client email address on the appointment, or you or your staff make a change without sending notifications, no internal copy is sent either.
What email address sends the internal notifications?
Internal notification emails delivered to you and your staff are sent from no-reply@acuityscheduling.com. If you reply to a booking confirmation or reminder email, your reply goes to the client. Replies to other emails will bounce.
