Connect to outside calendars to seamlessly manage your time

When you sync your calendar with Acuity, your Acuity appointments will automatically populate on your calendar. You can also have events on your calendar automatically block off time in Acuity.

You can sync Acuity with calendars in:

  • Google
  • iCloud
  • Outlook Office 365
  • Outlook Exchange
  • Outlook.com

Acuity also offers a one-way sync (Acuity events go out, but no events come into Acuity), which you can use with other calendar systems.

If you have staff members who access Acuity, they can sync to their calendars as well.

Create and disable calendar syncs

Each Acuity user or contributor can create one sync with each available calendar service. So you could have a sync to Google and a sync to iCloud, but you couldn’t have two separate syncs to Google.

What syncs between calendars

These rules govern what information Acuity sends to your outside calendar, and what it gets back from the outside calendar.

Appointment information sent by Acuity

All your non-class Acuity appointments will sync to your third-party calendar.

Classes don’t sync to your outside calendar until at least one client signs up to attend. Each class attendee appears on your outside calendar as an individual appointment. For example, a full class with eight seats appears on your outside calendar as eight appointments.

If you manually block off time in Acuity, the blocked time won't sync to your outside calendar.

Appointment information received from your external calendar

New calendar syncs default to sending Acuity appointments to the outside calendar only. Events from your outside calendar will only sync to Acuity if you enable the option to block off time based on your outside calendar.

By default, the titles of synced events from your outside calendar will be visible to other Acuity contributors or users. You can choose to hide event titles when you set up or edit the sync.

Acuity won’t sync in certain events from outside calendars:

  • Events happening at times that you’re listed as unavailable in Acuity.
  • Events more than 200 days in the future.
  • Events from outside calendars that you have read-only access to.
  • Events that were synced to the outside calendar from the same Acuity account. If you're trying to sync Acuity calendars by linking them to the same outside calendar, consider using resources instead.

There are also some features on outside calendars that you should be aware of:

  • Some outside calendars, like Google Calendar, mark events as either "Busy" or "Free." Only events marked as "Busy" will sync into Acuity.
  • iCloud’s travel time feature doesn’t sync into Acuity. Acuity blocks off time from each event's start to its end, but it doesn’t include extra time for travel.

How synced events display in Acuity

Synced events appear individually in the daily and weekly views of your Acuity calendar. In the monthly view, they appear as blocked time.

When anyone except the account owner sets up a sync, their username is displayed with the synced events’ titles in Acuity. If the account owner sets up a sync, no username displays with the event title.

Manage synced appointments using Acuity

To update an Acuity appointment that's synced to your outside calendar, make changes in Acuity. The updates will automatically populate to your outside calendar. This includes canceling and rescheduling appointments.

Google calendar typically shows these updates immediately. Microsoft calendars may take up to 10 minutes to update. 

If you try to update, cancel, or reschedule an appointment by making changes on your outside calendar, it won’t work. Acuity won’t accept the changes from an outside calendar, and the next time the sync updates, Acuity will replace your changed appointment with one that matches the details in Acuity.
