Syncing Acuity with iCloud

Calendar apps on Apple devices such as laptops and iPhones connect to an online iCloud calendar. If you are on a paid Acuity plan, you can sync Acuity with the iCloud calendar, allowing events to flow from Acuity to your Apple device.

Syncing with One iCloud Account

How to create an app-specific password using your Apple account

  • Go to the Apple ID account page.
  • Sign in.
  • In the Security section, click Generate Password…
  • Enter a label (such as “Acuity”) for your Acuity-specific password and click Create.
  • Copy the password.

How to Enable the Sync:

  • Go to Business Settings > Sync with Other Calendars. Click on the iCloud tab at the top.
  • Click Sign in to iCloud.
  • Enter your Apple ID and app-specific password, then click Link Apple Account.

How to Choose the Sync Details:

  • Go to Business Settings > Sync with Other Calendars. Click on the iCloud tab at the top and find the Acuity calendar that you want to sync.
  • In the corresponding dropdown menu, select the iCloud calendar you want to sync. This will cause Acuity appointments to be sent to the iCloud calendar.


  • Below the dropdown menu is a checkbox labeled block off time in Acuity from “name of calendar”. If you want events from the iCloud calendar to sync into Acuity (and block off time), check this box.


  • You can also have other iCloud calendars in the same iCloud account send events to Acuity. To do this, select the other calendars from the dropdown menu(s) below the line that reads and also block off time from. Events from these calendars will block off time in Acuity, but Acuity appointments will not be sent to these calendars.



Note: You will be able to see events from iCloud via the daily and weekly view of your Acuity calendar. In the monthly view, events from iCloud will show up as blocked off time.

Syncing with Multiple iCloud Accounts

Each Acuity user can sync with one iCloud account, allowing the Acuity user to connect to any of the calendars in that iCloud account.

If you want to connect one Acuity account to multiple iCloud accounts, you will need to have one Acuity user set up per iCloud account.

Click here to learn how to add more users to an Acuity account. After you add a user, log in as that user and follow the steps in Syncing with One iCloud Account. Repeat as necessary until each iCloud account is connected to an Acuity user.

Hint: If the multiple iCloud accounts you want to sync with don’t match up with actual people using the Acuity account, you can create “dummy” Acuity users strictly for the purpose of setting up those calendar syncs. You’ll need to use a separate email address for each account.


If nothing is syncing:

Have you changed your Apple ID password? Changing the password that goes with your Apple ID will revoke Acuity’s ability to access your iCloud calendar. To reconnect the sync, go to Business Settings > Sync with Other Calendars, and click on the iCloud tab at the top. Click the Reconnect to iCloud button and follow the instructions. Note: You may have to generate a new app-specific password following Apple’s procedures.

Did you just set up your sync? There may be an initial delay when you first set up the sync. Thereafter, events from Acuity should reach iCloud nearly instantaneously and events from iCloud should reach Acuity within 6 or 7 minutes, though iCloud server issues can sometimes delay the process further.

Are the correct calendars synced? Go to Business Settings > Sync with Other Calendars and click on the iCloud tab. Check that the sync is set up for the Acuity calendar you want, and verify that the correct iCloud calendar or calendars are involved in the sync.

If iCloud events aren’t reaching Acuity:

Are the events marked "Busy" or "Free" in iCloud? iCloud has the ability to mark each event as either "Busy" or "Free". Only events marked as "Busy" will sync into Acuity. By default, many Apple calendars mark all-day and multi-day events as “Free,” which prevents them from syncing to Acuity.

The solution is to change the event from “Free” to “Busy” on the Apple end. Unfortunately, not all Apple calendar apps can access this setting. If the device you are using does not allow you to change an event from “Free” to “Busy,” try using another device (such as your phone instead of your computer) to make the change.

Hint: On some devices, this setting is selected by opening the event details and tapping Show As.

Are the events during hours that you’re available in Acuity? To keep Acuity’s appointment calendar concise and readable, Acuity does not display hours of the day that are outside of an Acuity account’s availability.

For example, if you’re available in Acuity from 8am to 5pm, a iCloud event at 3am won’t be visible, because Acuity isn’t showing you 3am. But the sync is still going on (and the monthly view will show that there is a blocked-off time that day, even though it will be outside the range you can see in the daily view). If you decided to change your Acuity availability to 3am to 5pm, the synced event would show up.

Are your settings doing what you want? Go to Business Settings > Sync with Other Calendars and click on the iCloud Calendar tab. Check that:

  • The box to block off time in Acuity has been checked.
  • Any other iCloud calendars from the same Apple ID account that should also be blocking off time from the Acuity calendar are selected in the dropdown menu(s) below the line that says and also block off time from.


Are your events on a calendar you’re subscribed to? Acuity cannot import events from calendars that you have subscribed to, such as a webcal feed or ICS subscription.

Are you trying to use the Travel Time feature? Travel time added by this feature won't sync into Acuity.

If Acuity appointments aren’t reaching iCloud:

Is your event very far in the future? The sync will handle events up to 200 days in the future. Events farther out than that won’t sync until they’re within the 200-day window.

Are you viewing the correct iCloud calendar? It’s possible to have several iCloud calendars that are accessible from one iCloud account. If the iCloud calendar you’re syncing with isn’t being displayed, you won’t see the synced events. Check that the iCloud calendar you’re looking at is the one you intend to sync. If you’re viewing iCloud calendars through the iCloud calendar website, this setting is controlled in the left rail.

Are you viewing the events in a calendar app? If you’re using an app to track your calendar, use a browser to go to the iCloud calendar website and log in. Make sure that the correct iCloud calendar is selected in the My Calendars section on the left. If the Acuity events show up, you know that the problem is with the connection between iCloud and your app, not the connection between Acuity and iCloud.

Are your events classes that don't yet have attendees? Acuity will only sync classes to iCloud if at least one person has signed up to attend.

Other cases:

Are your Acuity appointments showing up twice in iCloud? Check whether you have a one-way subscription set up in addition to your standard iCloud sync. Here’s how to check and fix this:

  • On a computer: Open the calendar app on your Mac and find the list of calendars on the left. Right click on the Acuity subscription and select unsubscribe.
  • On a mobile device: Go to Settings > Accounts & Passwords. If the Acuity one-way subscription is active, it will be listed in the Subscribed Calendars section. Tapping on the section, then tapping on the Acuity subscription will bring up the subscription details. Tap the Delete Account button at the bottom.

If none of the troubleshooting steps above work:

  • Take a deep breath. We’re here to help.
  • Find an upcoming event that isn’t syncing. Note the name, date, and time of the event, as well as whether it is failing to go from iCloud to Acuity or from Acuity to iCloud. You’ll need to relay this information to us.
  • Make sure you know the name of any app you’re using to view your calendar. You’ll need to give us this information as well.
  • Go to the iCloud calendar website and take a screenshot of the date of the event that isn’t syncing, including the calendar section in the left menu bar.
  • Include all of the information you’ve gathered in an email to us. Please be sure to include the screenshot. We’ll be in touch with you shortly.
